You can now turn meeting notes into five tasks.

After every meeting: everyone agreed to the recording, the tasks have owners and dates, and the client has a one-page summary the same day.

Steps

  1. Ask for consent before you record

Ask everyone at the start, and say what the recording is for. If one person says no, take notes by hand. Rules on recording differ by country; check yours with your local authority.

    Example

Is it all right if I record this call, so my notes are right? The recording is only for our notes and I will send you the summary.

  2. Record and take the transcript

Let the notetaker record the call or meeting. Afterwards, read the transcript once quickly before you use it.

  3. Remove what should not travel

Before you paste the transcript into a chat assistant, take out personal details, private remarks and any price that was not agreed.

  4. Ask for five tasks, not a summary

A summary is easy to read and easy to forget. Tasks with owners get done.

    Weak

    Summarise this meeting.

    Better

From this transcript, list at most five tasks. For each: who does it, what exactly, the deadline if one was said, and the sentence where it was agreed. If no deadline was said, write [NO DATE?].

  5. Check each task against the transcript

Find the sentence behind every task. Delete any task nobody actually agreed to, and fix owners the AI guessed.

  6. Send the client one page

Put what was agreed, the tasks and the next date on one page and send it as a link the same day. Ask them to reply if anything is wrong or missing.

The full instruction

Copy it into any AI chat assistant and change only the first line.

Change only this line: MEETING = [a kickoff call with a new client about their website]

You turn the transcript of my MEETING into a short task list and a one-page summary.
If you need to know who was there, ask me first.
Below I paste the transcript, with personal details removed.

Do three things:
1. TASKS: list at most five tasks. For each: owner, what exactly, the deadline if one was said (otherwise [NO DATE?]), and the exact sentence where it was agreed.
2. OPEN QUESTIONS: list anything that was discussed but not decided.
3. ONE PAGE FOR THE CLIENT: write a summary of at most 150 words: what was agreed, the tasks with owners, the next meeting date if one was set. Plain words, no internal remarks.

Use only what is in the transcript. Do not invent tasks, owners, dates or prices. If a task has no clear owner, write [OWNER?].

Paste your material below this line:

What you end up with

A recording everyone agreed to, five tasks with owners you can trace to the transcript, and a one-page summary the client gets on the same day.

Common mistakes

  • Recording first and asking later, or not at all.
  • Sending tasks the AI invented because they sounded likely.
  • Sending the client the raw transcript instead of a short summary.
  • Pasting a transcript full of personal details into a chat tool.

Processes that need more than one tool

Thomas, a Kailiniai hero

Each process below uses several tools, each for the job it does best. Any AI chat assistant works where one is named.

  1. From a call to a client summary

Tools, in order: Fireflies → any AI chat assistant → Gamma

    1. Ask for consent, then let Fireflies record the call and take the transcript.
    2. Remove personal details and ask the assistant for at most five tasks with owners and the sentence behind each.
    3. Put the checked tasks on a one-page Gamma summary and send the link the same day.

    The prompt for this process

You turn a call transcript into tasks and a client summary.
The transcript (personal details removed): [paste]
List at most 5 tasks: owner by role, what exactly, deadline if one was said, and the sentence where it was agreed. If no deadline was said, write [NO DATE?].
Then write a client summary of at most 150 words: what we agreed, the tasks, the next date.
Use only what is in the transcript.
    Start with the tasks.

  2. Notes from a meeting in the room

Tools, in order: Granola → any AI chat assistant → Gamma

    1. Ask everyone first, then take notes with Granola during the meeting.
    2. Turn the notes into five tasks with the prompt from this guide and check them.
    3. Share the one-page summary in Gamma.

    The prompt for this process

You help me turn meeting notes into five clear tasks.
My notes: [paste, personal details removed]
Who was there, by role: [list]
For each task: who does it, what exactly, and by when if it was said; otherwise write [NO DATE?].
Do not add tasks nobody agreed to. If an owner is unclear, write [OWNER?].
    Start with the first task.

  3. A summary the client can correct

Tools, in order: Gamma → Typeform

    1. End the Gamma summary with a link to a one-question Typeform: is anything wrong or missing?
    2. Fix the task list from the answers before the next meeting.

    The prompt for this process

You help me write the closing lines of a meeting summary.
    The summary: [paste]
Write one friendly question asking the client to say if anything is wrong or missing, and one line saying by when I will update the tasks.
Keep both under 25 words and plain.
    Start with the question.

  4. Agreed tasks become a signed job

Tools, in order: Gamma → SignNow

    1. When the tasks describe paid work, turn them into a one-page scope in Gamma.
    2. Send it for signature with SignNow before the work starts.

    The prompt for this process

You help me turn agreed tasks into a one-page scope of work.
    The tasks: [paste]
Price and payment, if agreed: [paste or none]
Write one page with: the work, what is not included, dates, price, and how changes are agreed.
Use only what I gave you; write [MISSING?] for gaps. This is not legal advice.
    Start with the work.
