You can now turn a call into a quote.

A priced quote with scope and exclusions, sent for e-signature on the same day as the call or the client's photo.

  • Your own price list
  • Any AI chat assistant

Steps

  1. Tell the client you are recording

Ask before you record and note their answer. If they say no, take notes by hand and paste them in later.

  2. Turn the call into a scope list

Paste the call summary into a chat assistant and ask for a scope list: what is included, what is not, and what is still unclear.

    Weak

Write a quote from this call.

    Better

From this call summary, list the work items the client asked for, the items they did not ask for that are usually needed, and the questions I must answer before pricing. Do not add prices.

  3. No call? Price from a photo

When a client sends a photo, ask the assistant to list what it can see that needs work, then price each item from your own price list. The AI lists, you price and you check.

  4. Check every estimate yourself

Go through each line: is it in scope, is the price from your list, is anything missing. Add the exclusions in plain words. An AI estimate is a draft until you have checked it.

  5. Make the quote and send it for signature

Put the scope, the exclusions, the price and the validity date on one clear quote page and send it for e-signature. For agreement wording see /guides/simple-signed-agreement-for-a-small-job/, for a price list that lasts see /guides/price-list-you-do-not-redo-every-month/, and for a short proposal deck see /guides/one-page-proposal-deck/.

The full instruction

Copy it into any AI chat assistant and change only the first line.

Change only this line: TRADE = [painting and home repairs]

You help me turn a client conversation into a quote I can send today for my TRADE.

Below this prompt I paste the call summary or photo description, and my price list with items and prices.
Things I never include unless agreed: materials, waste removal and weekend work. If I list others, use mine.

Do four things:
1. A scope list: items the client asked for, each with the price from my price list. If an item is not on my list, write [PRICE?].
2. An exclusions list in plain words.
3. Questions I must ask the client before the quote is final.
4. A short quote text: scope, exclusions, total from my prices, validity date [DATE?] and one line on how to sign.

Do not invent prices, discounts or time estimates. I will check every line before sending.

Start with the scope list.

Paste your material below this line:

What you end up with

A checked quote with scope, exclusions and your own prices, sent for e-signature while the client still remembers the conversation.

Common mistakes

  • Recording a call without asking the client first.
  • Sending an AI estimate without checking each line against your price list.
  • Leaving out the exclusions, so the client assumes everything is included.

Processes that need more than one tool

Thomas, a Kailiniai hero

Each process below uses several tools, each for the job it does best. Any AI chat assistant works where one is named.

  1. Record and summarise the call

Tools, in order: Granola → any AI chat assistant

    1. Ask the client for consent, then take notes in the call with Granola.
    2. Paste the summary into the chat assistant and ask for a scope list without prices.

    The prompt for this process

Turn my call notes into a scope list. The client agreed to the notes being taken.

My trade: [e.g. painting and small repairs]
Call notes: [paste the summary, without the client's personal details]

List: (1) the work the client asked for, (2) work that is usually needed for this but was not mentioned, (3) questions I must ask before pricing. Do not add prices or time estimates.

Start with the work the client asked for.

  2. Same with a meeting bot

Tools, in order: Fireflies → a document

    1. For an online call, tell the client a notetaker will join, then let Fireflies record and transcribe it.
    2. Copy the action items into a document as the draft scope.

    The prompt for this process

Write two short messages for an online client call where a notetaker will record and transcribe the call.

    My business: [name and trade]
Call date and time: [date, time]

Message 1 (before the call, at most 50 words): tells the client a notetaker will join, why, and that they can say no. Message 2 (after the call, at most 60 words): thanks them and says the scope will follow. Then write the headings for my draft scope document.

    Start with message 1.

  3. Price from a client's photo

Tools, in order: any AI chat assistant → a spreadsheet

    1. Ask the chat assistant to list what it can see in the photo that needs work.
    2. Price each item from your own price list in a spreadsheet and check every line yourself.

    The prompt for this process

Look at the photo the client sent and list what needs work. I will price it myself.

    My trade: [trade]
    What the client wrote: [paste]
    Photo: [attach]

List each item you can see that may need work, with where it is in the photo and how sure you are. List what you cannot judge from a photo. Do not give prices or time estimates. Then write 3 questions to send the client before I price the job.

    Start with the item list.

  4. Make the quote and send it for signature

Tools, in order: Gamma → SignNow

    1. Put scope, exclusions, prices and validity date on one quote page in Gamma.
    2. Export it and send it for e-signature with SignNow.

    The prompt for this process

Write the content of a one-page quote that I will lay out in Gamma and send for e-signature.

    Client: [first name or company]
Checked scope with my prices: [paste]
    Exclusions: [paste]
    Valid until: [date]

Write a short heading, a two-line summary of the job, the scope table, the exclusions in plain words, the total from my prices only, the validity date and one line on how to sign. No discounts or deadlines I did not give.

    Start with the heading.
