Steps
Record three good calls, with consent
Tell the client at the start that the call is recorded and why, and record only if they agree. Keep the transcript of the three calls that went best.
WeakRecording quietly so the call feels natural.
BetterBefore we start: I record our calls so I can send accurate notes. Is that all right with you?
Keep notes from calls in person
For meetings in person, write down the client's words, the objections and the moment they decided, straight after the meeting.
Write the script on one page
Give the transcripts and notes to a chat assistant and ask for one page: opening, five questions, five objections with your best real answers. Use what you really said, not invented lines.
Send the agreement the same day
When the client says yes, summarise the agreed scope and send it for e-signature the same day, while the decision is fresh. For a simple agreement, see /guides/simple-signed-agreement-for-a-small-job/.
The full instruction
Copy it into any AI chat assistant and change only the first line.
Change only this line: OFFER = [garden design packages for homeowners] You help me write a one-page sales call script for my OFFER from my own best calls. Below I paste transcripts of three good calls (recorded with consent) and my notes from calls in person. Do four things: 1. Write the opening I used that worked best, in at most 40 words. 2. List the 5 questions that moved the calls forward, in the order I asked them. 3. List the 5 objections clients raised, each with my best real answer from the transcripts, quoted or lightly shortened. 4. Write a short closing line that leads to sending the agreement for signature. Use only what is in my transcripts and notes; mark anything you had to add. Start with the opening. Paste your material below this line:
What you end up with
A one-page script built from what already worked in your calls, ready for you and for a new team member to learn from, plus a same-day agreement step so fewer deals are lost between yes and signature.
Common mistakes
- Recording a call without asking the client first.
- Filling the script with lines nobody ever said in a real call.
- Waiting days to send the agreement after the client said yes.
Processes that need more than one tool
Each process below uses several tools, each for the job it does best. Any AI chat assistant works where one is named.
Record three good calls, with consent
Tools, in order: Fireflies.ai → any AI chat assistant
- Tell the client at the start that the call is recorded and why, and continue only if they agree.
- Record and transcribe the online call in Fireflies.ai and keep the three best transcripts.
Recommended for this step: Fireflies.ai
Quality: you learn from real calls
The prompt for this process
I record my online sales calls in Fireflies.ai, always with the client's consent. What I sell and to whom: [paste] Do two things: 1. Write a consent line I say at the start of every call, at most 30 words, that says the call is recorded, why, and that the client can say no. 2. Write a short checklist to choose my three best calls to learn from: what makes a call good for this purpose. Start with the consent line.
Keep notes from calls in person
Tools, in order: Granola → any AI chat assistant
- Take notes in Granola during or right after a meeting in person.
- Ask a chat assistant to sort them into client words, objections and the moment they decided.
Recommended for this step: Granola
Time: notes ready right after
The prompt for this process
I keep notes from sales meetings in person in Granola. Help me sort them. My notes from the meeting: [paste] Sort the notes into three lists: the client's own words about their problem, the objections they raised, and the moment they decided (what was said just before). Keep the client's words as written. Mark anything that is my interpretation, not what they said. Start with the client's own words.
Write the script on one page
Tools, in order: any AI chat assistant → Gamma
- Paste the three transcripts and your notes into a chat assistant and ask for the one-page script.
- Lay it out in Gamma so a new team member can read it in five minutes.
Recommended for this step: Gamma
Learning: a new team member learns your best call
The prompt for this process
Write a one-page sales call script from my three best calls. I will lay it out in Gamma for my team. Three transcripts: [paste] Notes from meetings in person: [paste] The page has: an opening of at most 40 words, 5 questions in order, 5 objections each with my best real answer from the transcripts, and a closing line that leads to sending the agreement. Use what I really said; mark anything you added. Start with the opening.
Send the agreement the same day
Tools, in order: any AI chat assistant → SignNow
- Ask a chat assistant to summarise the agreed scope for your own agreement template.
- Send the agreement for e-signature in SignNow the same day.
Recommended for this step: SignNow
Money: fewer deals lost between yes and signature
The prompt for this process
The client said yes on the call. Help me summarise the agreed scope for my own agreement template, which I will send for e-signature in SignNow today. Notes on what we agreed: [paste] My agreement template sections: [paste] Write a plain-language scope summary: what I will deliver, by when, what is not included, the price we agreed and the next step. At most 150 words. Mark anything that is unclear in my notes so I can ask before sending. This is a template, not legal advice. Start with what I will deliver.

We recommend a specialised tool for each process rather than one tool that does everything. Tools that try to do everything rarely do any one job really well, because no single function gets perfected. It is the same in life, in business and in relationships: spread your attention over ten places and nothing gets done properly.
