Turn your product sheet into a simple online catalogue

Ema, a Kailiniai hero

For this guide and its prompts we recommend:

  • Shopify imports your product sheet as products and gives you a catalogue with filters and search. 3-day free trial · €1/month for the first 3 months on most plans (source)
  • Gamma lays out a shareable catalogue page. Free plan (source)
  • Fotor fixes the light and background of product photos. Free plan (source)

You can now turn a sheet into a catalogue.

A browsable online catalogue built from your own product sheet, with clean photos, filters customers need and one sheet that stays the single source of prices and stock.

Steps

Steps marked with a source come from public Instagram posts, read on 22 Oct 2026 (captions and spoken words only, no comments). The method here is rewritten for general use.

  1. Pick the sheet and tidy it

Joshua starts from a plain inventory sheet with names, prices and stock levels. Use the sheet you already keep: one product per row, one column for each fact. Ask AI to find duplicates, empty cells and prices written in different ways.

    Example

Here are my sheet's column names and 20 sample rows. List duplicates, empty cells and inconsistent prices. Do not change any value; only list them.

The prompt and the tool for this step

  2. Describe the catalogue in plain English

His second step is describing what you want in plain words. Say who will browse it, which filters they need (category, size, in stock) and what each product page shows. AI turns that and your columns into a list of fields and short product texts.

The prompt and the tool for this step

  3. Clean the product photos

A catalogue is judged by its photos. Fix the light and the background of each photo so they look like one set, and check that colour and shape still match the real product.

The prompt and the tool for this step

  4. Build it from the sheet and tweak

Import the sheet into an online store builder as products, or lay a shareable catalogue page out from it. Then tweak the look, filters and texts in the visual editor instead of rebuilding.

The prompt and the tool for this step

  5. Publish, and keep the sheet as the one source

Publish, open it on a phone and fix what reads badly. When prices or stock change, change the sheet first and update the catalogue from it, so the two never disagree.

You help me turn my product sheet into an online catalogue. My PRODUCT line above says what I sell and who browses it. My sheet's column names and 20 sample rows are pasted below.

Do four things:
1. List duplicates, empty cells and inconsistent prices or units. Do not change any value.
2. Propose the catalogue fields and filters (for example category, size, in stock) and map each to a column.
3. Write a product text of at most 50 words for each sample row, using only facts from the sheet; mark anything missing as [MISSING?].
4. Give me a checklist for publishing and for updating the catalogue from the sheet when prices or stock change.

Start with step 1.

What you end up with

A catalogue customers can browse on a phone, built from your sheet with clean photos and honest product texts, and one sheet you update first whenever something changes.

Common mistakes

  • Fixing prices in the catalogue but not in the sheet, so the two disagree.
  • Letting AI fill in missing sizes or materials instead of marking them.
  • Using edited photos that change the product's colour or shape.
  • Publishing without checking it on a phone.

Processes that need more than one tool

Thomas, a Kailiniai hero

Each process below uses several tools, each for the job it does best. Any AI chat assistant works where one is named.

  1. Pick the sheet and tidy it

Tools, in order: a spreadsheet → any AI chat assistant

    1. Make sure the sheet has one product per row and one column per fact.
    2. Ask a chat assistant to list duplicates, empty cells and inconsistent prices, then fix them in the sheet yourself.

Recommended approach for this step: a spreadsheet → any AI chat assistant

Quality: the catalogue starts from clean data

    The prompt for this process

Check my product sheet before I turn it into a catalogue.

Column names and 20 sample rows: [paste]

List: duplicate products, empty cells, prices or units written in different ways and columns that mix two facts. Do not change any value; only list the problems with the row number. Then suggest clean column names.

    Start with duplicate products.

  2. Describe the catalogue in plain English

Tools, in order: any AI chat assistant → a spreadsheet

    1. Describe who browses, the filters they need and what each product page shows.
    2. Ask for the field list and short product texts, and add the texts to the sheet as a new column.

Recommended approach for this step: any AI chat assistant → a spreadsheet

Time: product texts are written once, in the sheet

    The prompt for this process

Plan the fields of my online catalogue from my sheet.

    Who browses it: [one line]
Filters they need: [e.g. category, size, in stock]
    Column names: [paste]
    Sample rows: [paste 10]

Map each catalogue field to a column. Then write a product text of at most 50 words for each sample row, using only facts in the sheet; mark anything missing as [MISSING?].

    Start with the field map.

  3. Clean the product photos

Tools, in order: Fotor → your phone camera

    1. Fix the light and remove a busy background from each product photo in Fotor.
    2. Compare every edited photo with the real product and retake any that changed it.

    Recommended for this step: Fotor

Quality: the catalogue looks like one set

    The prompt for this process

Give me a checklist for cleaning product photos for a catalogue, so they look like one set.

Products: [what they are, colours, materials]
Background I want: [e.g. plain light grey]

List the light, background and sharpness fixes to make, the same crop for every photo and four things to compare between each edited photo and the real product.

    Start with the light.

  4. Build it from the sheet and tweak

Tools, in order: Shopify → Gamma

    1. Import the cleaned sheet into Shopify as products, with the photos.
    2. Or lay a shareable catalogue page out from the sheet in Gamma.
    3. Tweak filters, texts and look in the editor instead of starting again.

Recommended for this step: Shopify + Gamma

Time: the catalogue is built from data you already keep

    The prompt for this process

Help me prepare my product sheet for import into an online store builder.

    My columns: [paste]
Required import columns of my store builder: [paste from its help page]

Map my columns to the import columns, list any column I still need and flag rows that will fail (empty price, missing title). Do not invent values.

    Start with the column map.

  5. Publish, and keep the sheet as the one source

Tools, in order: a spreadsheet → Shopify

    1. Publish and check the catalogue on a phone.
    2. When prices or stock change, change the sheet first and import the update.

    Recommended for this step: Shopify

Quality: the sheet and the catalogue never disagree

    The prompt for this process

Write me a short update routine for my catalogue.

How often prices or stock change: [e.g. weekly]
Who updates the sheet: [one line]

Five steps at most, from changing the sheet to checking the catalogue on a phone. Include one check that catches a price that differs between the sheet and the catalogue.

    Start with step 1.
