Guide

A price list you don’t have to redo every month

Ema, a Kailiniai hero

For this guide and its prompts we recommend:

  • Gamma turns the checked price list into one dated page you can share as a link. Free plan (source)
  • Typeform asks every enquiry the same questions. Free plan · 14-day free trial (source)

You can now stop redoing your price list monthly.

One price list built from simple rules, so when a cost changes you update one place and every price, quote and page follows.

Steps

  1. List what you sell as units

Per room, per hour, per item, per visit. A unit price is easier to keep up to date than a price for every possible job.

  2. Keep the costs that change in one place

Materials, travel and platform fees go in their own cells. Prices refer to those cells, so a change in fuel or materials is one update, not twenty.

  3. Write prices as a base plus add-ons

Customers read a short rule faster than a long list, and you have fewer lines to update.

    Weak

Kitchen clean [price]. Kitchen clean with oven [price]. Kitchen clean with oven and fridge [price].

    Better

Kitchen clean [base price]. Add-ons: oven [price], fridge [price].

  4. Say what is included next to the price

One line under each price: what is included, what is not, and what changes the price. Most price arguments start with something nobody wrote down.

  5. Let AI write the customer version, then check every number

Paste your sheet into the prompt below. The assistant rewrites the list for customers; you compare every number with the sheet before anything is published.

  6. Put a date on it and pick a review day

Add “Prices checked on [date]” to the list, and choose one fixed day to review the cells that change, for example once a quarter. Between review days, nothing needs redoing.

The full instruction

Copy it into any AI chat assistant and change only the first line.

Change only this line: BUSINESS = [home cleaning for apartments and houses]

You help me turn the prices of my BUSINESS into a simple price list that is easy to keep up to date.
First ask me who reads the price list. Treat materials, travel and platform fees as the costs that change often, unless I name others.
Below I paste my current prices, one line per service or product.

Do four things:
1. UNITS: suggest how to express my prices as units (per hour, per room, per item) plus add-ons. Show which of my current lines each rule replaces.
2. VARIABLES: list which prices depend on the costs that change, so I can keep those costs in separate cells.
3. CUSTOMER LIST: write the price list for customers: base prices, add-ons, and one line on what is included and what is not.
4. CHECK: list every number in your version next to the line of mine it came from. Mark [CHECK?] where you are unsure.

Do not change any of my numbers, do not round them and do not add new prices. If something is unclear, ask me instead of guessing.

Paste your material below this line:

What you end up with

A price list built from units and add-ons, a sheet where the changing costs live in one place, and a review day instead of a monthly rewrite.

Common mistakes

  • Letting the assistant round or change a price. Every number comes from your sheet.
  • A separate line for every combination of jobs, so one change means editing the whole list.
  • No date on the list, so nobody knows if it is current.
  • Prices without a line on what they include.

Processes that need more than one tool

Thomas, a Kailiniai hero

Each process below uses several tools, each for the job it does best. Any AI chat assistant works where one is named.

  1. One sheet, one customer page

Tools, in order: a spreadsheet → any AI chat assistant → Gamma

    1. Keep unit prices, add-ons and the costs that change in one spreadsheet.
    2. Ask the assistant to write the customer price list from the sheet, then check every number.
    3. Publish it as one Gamma page with the date, and share the same link everywhere.

    The prompt for this process

You help me turn my price sheet into a customer price list.
My sheet: [paste unit prices, add-ons and what each includes]
    Who reads it: [your customers]
Write a short page: base prices, add-ons, and one line on what is included and what is not.
Do not change, round or add any number. Mark anything unclear as [CHECK?].
End with the line: Prices checked on [date].
    Start with the first service.

  2. Quotes from the same rules

Tools, in order: Typeform → a spreadsheet

    1. Ask every enquiry the same questions in Typeform: size, rooms or items, add-ons, date.
    2. Let the answers land in the spreadsheet, where your unit prices turn them into a quote you check before sending.

    The prompt for this process

You help me write the questions for a quote form.
What I sell: [services or products]
What changes the price: [size, rooms, items, add-ons, date]
Write at most 6 short questions, one for each thing that changes the price, with answer options where possible.
Do not ask for personal data I do not need for the quote.
Start with the question about size.

  3. Prices in the shop from the sheet

Tools, in order: a spreadsheet → Shopify

    1. Set the base price and each add-on as a product option in Shopify, taken from the sheet.
    2. On your review day, change only the options whose cost changed.

    The prompt for this process

You help me set up product options from my price sheet.
    The product: [name]
Base price and add-ons from my sheet: [paste]
Write the option names and short descriptions for each add-on, under 12 words each.
Use my numbers exactly; do not add or change any price.
Start with the base product description.

  4. Agree the price before the work

Tools, in order: Gamma → SignNow

    1. Turn the quote into a one-page Gamma summary: the job, the price and what is included.
    2. Send it for signature with SignNow, so the price is agreed before anyone starts.

    The prompt for this process

You help me turn a quote into a one-page summary for a client.
    The job: [what, where, when]
The price from my sheet: [paste the lines]
    Included and not included: [list]
Write one page with three parts: the job, the price, what is included and what is not.
Use only my numbers; where something is missing, write [MISSING?].
    Start with the job.
