Steps
Make a short welcome deck
Give the assistant your facts and ask for a deck of a few slides: who we are, who to ask, the first week day by day, where things are. Only your facts, nothing invented.
WeakMake a welcome presentation for new staff.
BetterMake 8 slides for a new shop assistant: our team and who to ask, opening hours, the first week day by day, where the stock and keys are, and the three rules that matter most. Use only the facts below.
Write a ten-question quiz on what matters
Ask for ten multiple-choice questions on safety, customer rules and daily routines. Check every correct answer yourself, then build the quiz as an online form.
Have the house rules signed
Put the house rules in one plain document and send it for e-signature. House rules are not an employment contract: contracts and labour rules, check with a professional.
Schedule welcome emails for days one to three
Write three short emails: what to bring on day one, how day one went and what comes next, and where to find help. Schedule them in your inbox and read them once before they go out.
Add a training video if you have one
If a task is easier to show than to tell, add a short training video to the pack. The method is in /guides/training-video-in-two-voices/.
The full instruction
Copy it into any AI chat assistant and change only the first line.
Change only this line: ROLE = [part-time shop assistant] You help me build a first-week pack for a new team member in the ROLE above. Before you write, ask me one question at a time: my business in one sentence, and the facts for the new person (hours, contacts, where things are, tools they use). Below this prompt I paste my house rules. Do four things: 1. A welcome deck of at most 8 slides: title and 3 short points per slide, using only my facts. 2. Ten multiple-choice questions on the points that matter most, each with 4 options and the correct answer. 3. A plain-language version of my house rules for signing. Mark every point that touches pay, hours, contracts or labour law with [CHECK WITH A PROFESSIONAL?]. 4. Three welcome emails for days 1, 2 and 3, each of at most 80 words. Start with the welcome deck. Paste your material below this line:
What you end up with
A new person gets the same clear start every time: a deck, a checked quiz, signed house rules and three welcome emails, with legal points left to a professional.
Common mistakes
- Treating signed house rules as if they were an employment contract.
- Publishing quiz answers you have not checked yourself.
- Letting scheduled emails go out without reading them first.
Processes that need more than one tool
Each process below uses several tools, each for the job it does best. Any AI chat assistant works where one is named.
Welcome deck
Tools, in order: any AI chat assistant → Gamma
- Ask the chat assistant for slide content using only your facts.
- Paste it into Gamma, add your own photos and check every slide.
The prompt for this process
Write the content of a welcome deck for a new team member that I will build in Gamma. My business: [one sentence] Role: [e.g. shop assistant] Facts: [team and who to ask, hours, where things are, first week plan] Three rules that matter most: [list] Write at most 8 slides, each with a title and 3 short points, using only my facts. If a fact is missing, write [FACT NEEDED?]. Nothing about pay, contracts or legal terms. Start with slide 1.
Ten-question quiz
Tools, in order: any AI chat assistant → Typeform
- Ask the chat assistant for ten multiple-choice questions on the points that matter.
- Check every answer yourself, then build the quiz in Typeform.
The prompt for this process
Write a ten-question quiz for a new team member that I will build in Typeform. Points they must know: [paste from the deck and house rules] Role: [role] Write 10 multiple-choice questions, each with 4 short options and the correct answer, and say which point each question checks. Wrong options must be plausible but clearly wrong. No trick questions. Add one closing line that tells them who to ask if they are unsure. Start with question 1.
Sign the house rules
Tools, in order: a document → SignNow
- Put the house rules in one plain document.
- Send it for e-signature with SignNow and keep the signed copy.
The prompt for this process
Rewrite my house rules in plain language so a new team member can read and sign them. My house rules: [paste] Role: [role] Keep every rule and its meaning, in short sentences. Mark every rule that touches pay, hours, contracts or labour law with [CHECK WITH A PROFESSIONAL?], because this is not legal advice. Then write one line above the signature field that says what the person confirms by signing. Start with the rewritten rules.
Welcome emails for days 1 to 3
Tools, in order: any AI chat assistant → your email inbox
- Ask the chat assistant for three short welcome emails.
- Schedule them with scheduled send in your inbox and read each one before it goes out.
The prompt for this process
Write three welcome emails for a new team member, for days 1, 2 and 3. My business: [one sentence] New person's first name: [name] What they need on day 1: [e.g. where to come, what to bring] Who they can ask: [name and role] Day 1: where to come and what to bring. Day 2: how day 1 went and what comes next. Day 3: where to find help and the training material. Each email at most 80 words, warm and plain, no exclamation marks. Start with day 1.

We recommend a specialised tool for each process rather than one tool that does everything. Tools that try to do everything rarely do any one job really well, because no single function gets perfected. It is the same in life, in business and in relationships: spread your attention over ten places and nothing gets done properly.
