Steps

  1. Write three qualifying questions

Three questions that show whether you can help: what they need, when and roughly what budget or size. Write them in plain words and say on the form how you will use the answers.

    Weak

    What is your budget.

    Better

Which of these is closest to the size of your job? Small (one room), medium (a floor), large (a whole building). It helps us suggest the right next step.

  2. Let good-fit leads book a call

Use form logic: when the answers fit, the end screen shows your booking link. When they do not, the end screen says you will reply by email. Nobody is turned away without a reply.

  3. Reply to every other enquiry by hand

For enquiries that do not fit, send a short, kind reply from your inbox: what you can or cannot do and, where you can, where else they might look.

    Example

Thanks for your enquiry. We only take jobs in [area], so we cannot help with this one. You may find a local cleaner through [local directory]. Good luck with the move.

  4. Send a short intro deck before the call

Make a short deck: who you are, how you work, what happens on the call, what to have ready. Send the link with the booking confirmation. For a proposal after the call, see /guides/one-page-proposal-deck/.

  5. Log every lead

Send every form answer to a free CRM or a sheet with date, fit, next step and reply sent. Delete leads you no longer need and keep only what you said you would.

The full instruction

Copy it into any AI chat assistant and change only the first line.

Change only this line: BUSINESS = [bookkeeping for freelance designers, fully online]

You help me build a short enquiry form for my BUSINESS that qualifies leads and lets good-fit ones book a call.

Before you start, ask me who is a good fit, who is not a good fit and what I can tell them. One question at a time.

Do four things:
1. Write three qualifying questions in plain words, with answer options.
2. Write the logic: which answers show the booking link, which show a reply-by-email message.
3. Write the line that says how I will use their details.
4. Write a short, kind reply for enquiries that do not fit, with no automatic rejection.

No pressure, no urgency, no promises of results.

Start with the three questions.

What you end up with

A short form that sorts enquiries fairly, a booking link for good-fit leads, a personal reply for everyone else, an intro deck and a log of every lead.

Common mistakes

  • Asking ten questions when three would do.
  • Letting the form reject people with no reply.
  • Not saying how their details will be used.

Processes that need more than one tool

Thomas, a Kailiniai hero

Each process below uses several tools, each for the job it does best. Any AI chat assistant works where one is named.

  1. Write three qualifying questions

Tools, in order: any AI chat assistant → Typeform

    1. Ask the chat assistant for three qualifying questions with answer options.
    2. Build them in Typeform with a line on how you will use the answers.

    The prompt for this process

Write three qualifying questions for my enquiry form in Typeform.

My business: [what you do, for whom, where]
    Good fit: [describe]
    Not a good fit: [describe]

For each question: plain wording, three or four answer options and which options mean a good fit. Add one line for the form that says how I will use their details. No questions about personal matters I do not need.

    Start with question 1.

  2. Book good-fit leads

Tools, in order: Typeform → a booking tool

    1. Set Typeform logic so good-fit answers end on a screen with your booking link.
    2. Set up a booking tool with your free times and a short note on what happens on the call.

    The prompt for this process

Help me set up the logic for my Typeform enquiry form.

My three questions and options: [paste]
Which options mean a good fit: [paste]

Write the rules: which answer combinations show the booking link and which show a message that I will reply by email. Write both end screens in at most 40 words each. Nobody is rejected without a reply.

    Start with the rules.

  3. Send a short intro deck

Tools, in order: Gamma → your email inbox

    1. Make a short intro deck in Gamma: who you are, how you work, what happens on the call.
    2. Send the deck link from your email inbox with the booking confirmation.

    The prompt for this process

Write a short intro deck for leads who booked a call, to build in Gamma.

    My business: [one sentence]
    How I work: [steps]
What happens on the call: [describe]

At most 5 slides, at most 30 words each: who we are, how we work, what happens on the call, what to have ready, how we use your details. No invented numbers, awards or reviews.

    Start with slide 1.

  4. Log leads

Tools, in order: Typeform → a free CRM

    1. Send every Typeform answer to a free CRM or a sheet with date, fit and next step.
    2. Mark every lead with the reply you sent and delete leads you no longer need.

    The prompt for this process

Help me log the leads from my Typeform enquiry form.

    My form questions: [paste]
What I said about how I use their details: [paste]

Suggest the fields for each lead: date, fit, next step, reply sent, delete after. Write a short rule for how long I keep leads, in line with what I told them, and remind me to check data rules with a professional.

    Start with the fields.
