Steps
Pick one job you repeat every week
Students repeat notes, slides and reports. Creators repeat captions, voice-overs and short clips. Write down the one job that eats most of your week. Use one tool for that job first; adding more tools early makes it harder to see what helped.
Turn lectures and calls into notes
Record an online lecture, a study-group call or a client call with the permission of the people on it. Let an AI notetaker write the transcript and a short summary, then read the summary against the recording once before you rely on it.
ExampleAsk for: five key points, three questions I should ask my teacher, and any date or number mentioned, copied word for word.
Make slides for a project or pitch
Describe the presentation in plain English: who it is for, how many slides and the one message. An AI slide tool drafts the deck; you fill every gap with your own facts and check each number.
Make a short video or voice-over
Write a 60-second script first. A text-to-video tool or an AI voice-over tool turns the script into a clip. Say clearly in the caption that the voice or picture is made with AI, and check that the free plan allows what you plan to do with it.
Cut one long video into short clips, and check the plan limits
If you already have a long video, a clip tool can cut it into short vertical clips with captions. Before you depend on any free plan, open the tool's official pricing page: free plans and their limits change, and each tool page here shows the date we last checked.
The full instruction
Copy it into any AI chat assistant and fill in the brackets.
You help me choose and test free AI tools for one weekly job. Who I am: [student in class/year, or creator on platform] The job I repeat every week: [one sentence] How long it takes me now: [hours per week] What I may use as input: [lecture recording, my own script, my own long video] Do four things: 1. Turn my job into 4 to 5 small steps and say which step is best for an AI tool and which I must do myself. 2. For the best step, tell me what to put in and what to check in the result before I use it. 3. Write the exact instruction I paste into the tool or chat assistant, with [brackets] for what I fill in. 4. List three things I must check on the tool's official pricing page before I rely on the free plan. Do not invent prices or limits. Start with step 1.
What you end up with
One weekly job that now takes less of your time, a tested free plan with its limits written down, and a habit of checking the official pricing page.
Common mistakes
- Trusting a free plan's limits from memory instead of the official page.
- Using a recording without the permission of the people in it.
- Publishing AI notes, slides or scripts without checking every fact and number.
- Posting AI voice or video without saying it is AI.
Processes that need more than one tool
Each process below uses several tools, each for the job it does best. Any AI chat assistant works where one is named.
Pick one job you repeat every week
Tools, in order: any AI chat assistant → a spreadsheet
- List what you repeat each week and how long each task takes.
- Pick the one job where the work is the same each time, and write it as one sentence.
Recommended approach for this step: any AI chat assistant → a spreadsheet
Learning: you start with one clear job
The prompt for this process
Help me pick one weekly job for an AI tool. My weekly tasks and hours: [paste a short list] For each task say whether the work is the same each time (good for AI) or different each time. Then name the best one to start with and the one thing I must check by hand. Start with the table.
Turn lectures and calls into notes
Tools, in order: Fireflies → Granola
- Record only with the permission of everyone on the call, then let the notetaker write the transcript and a short summary.
- Check the summary against the recording once, and fix anything wrong before you share it.
Recommended for this step: Fireflies.ai + Granola
Time: notes are ready right after the session
The prompt for this process
Turn this transcript into study notes. Transcript: [paste] Give me: five key points, three questions to ask my teacher, and every date or number mentioned, copied word for word. Mark anything unclear as [CHECK?]. Start with the five key points.
Make slides for a project or pitch
Tools, in order: Gamma → any AI chat assistant
- Describe who the deck is for, how many slides and the one message.
- Fill every gap with your own facts and check each number before you present.
Recommended for this step: Gamma
Quality: every slide carries one fact you checked
The prompt for this process
Plan a presentation for me. Who it is for: [audience] The one message: [one sentence] Number of slides: [e.g. 8] My facts and numbers: [paste] Give a title for each slide and the one fact it carries. Use only my facts and mark anything missing as [MISSING?]. Start with the slide titles.
Make a short video or voice-over
Tools, in order: Fliki → Murf
- Write a 60-second script first, then turn it into a clip or a voice-over.
- Say clearly in the caption that the voice or picture is made with AI.
Recommended for this step: Fliki + Murf
Time: a script becomes a clip in one sitting
The prompt for this process
Write a 60-second script for a short video. Topic: [topic] Audience: [who watches] Three facts I can prove: [paste] Use short sentences, one idea each. End with one question for the viewer. Do not add any fact I did not give you. Start with the script.
Cut one long video into clips, and check the plan limits
Tools, in order: Opus Clip → any AI chat assistant
- Upload one long video you own and let the clip tool propose short vertical clips with captions.
- Open the tool's official pricing page and write down the free-plan limit and the date you checked it.
Recommended for this step: OpusClip
Learning: you know the limit before you depend on it
The prompt for this process
Help me check a free plan before I rely on it. Tool: [name] What I plan to do: [e.g. 10 clips a month] List five things I must read on the official pricing page: clip or credit limit, watermark, commercial use, export quality and what happens at the limit. Give me a one-line note I can save with today's date. Start with the five things.
For this result we recommend these tools
This guide describes a result. These tools are one way to get there faster. Whether one pays for itself depends on your work, and we promise no result.

We recommend a specialised tool for each process rather than one tool that does everything. Tools that try to do everything rarely do any one job really well, because no single function gets perfected. It is the same in life, in business and in relationships: spread your attention over ten places and nothing gets done properly.
