Steps

  1. Find and book five customers

Send a short screener to customers who agreed to hear from you: three questions and a time slot. Pick five who use your product in different ways.

The prompt and the tool for this step

  2. Ask the same open questions on an online call

Tell each customer at the start that the call is recorded and why, and ask if that is fine. Use the same seven open questions in every call, so the answers can be compared.

    Better

Tell me about the last time you needed something like this. What did you do?

The prompt and the tool for this step

  3. Keep notes for calls in person

When you meet in person, write rough notes during the talk and clean them up right after, marking exact quotes. Ask before you quote anyone by name.

The prompt and the tool for this step

  4. Turn the notes into one page of decisions

Put all five transcripts and notes together and look for repeated words, surprises and problems that came up more than once. End with three changes you will make and one thing you will stop doing.

You help me run five customer interviews in one week about my PRODUCT and turn them into decisions.

Before you start, ask me the one or two questions I want to learn about. I will talk to customers on an online call or in person.

Do four things:
1. Write a screener with 3 questions and a time-slot question.
2. Write 7 open interview questions. None of them may suggest the answer. Add one opening sentence that tells the customer the call is recorded and asks for their consent.
3. Write a note template with space for exact quotes.
4. Write the structure of a one-page summary: repeated words, surprises, 3 changes, 1 thing to stop.

Do not invent answers. Start with the screener.

What you end up with

Five real conversations, exact quotes you can trust and one page of decisions that the whole team can read in two minutes. A tool built for each step (booking, recording, notes, the page) leaves you time to listen instead of typing.

Common mistakes

  • Asking leading questions and hearing what you hoped for.
  • Recording a call without asking for consent first.
  • Collecting interviews and never writing down a decision.

Processes that need more than one tool

Thomas, a Kailiniai hero

Each process below uses several tools, each for the job it does best. Any AI chat assistant works where one is named.

  1. Find and book five customers

Tools, in order: any AI chat assistant → Typeform

    1. Ask a chat assistant for a screener with three questions and a time-slot question.
    2. Build it in Typeform and send it to customers who agreed to hear from you.
    3. Pick five people who use your product in different ways.

    Recommended for this step: Typeform

Time: the right people book themselves

    The prompt for this process

Write a short screener to book customer interviews. I will build it in Typeform.

    My product: [what it is]
Who I want to hear from: [e.g. customers who bought in the last six months]

Write 3 questions that help me pick five different customers, and one question for a time slot (three options plus "other"). Add a one-line intro that says what the interview is for and how long it takes.

    Start with the intro.

  2. Ask the same open questions on an online call

Tools, in order: any AI chat assistant → Fireflies.ai

    1. Ask a chat assistant for seven open questions and a consent sentence.
    2. At the start of each call, read the consent sentence and record with Fireflies.ai only after a yes.
    3. Keep the transcript for the summary.

    Recommended for this step: Fireflies.ai

Quality: exact quotes instead of memory

    The prompt for this process

Write an interview guide for 20-minute calls with my customers. The calls are recorded with Fireflies.ai, only after the customer agrees.

    My product: [what it is]
What I want to learn: [one or two questions]

Write: one opening sentence that tells the customer the call is recorded, why, and asks for their consent; then 7 open questions that do not suggest the answer; then one closing question. Avoid yes/no questions.

    Start with the opening sentence.

  3. Keep notes for calls in person

Tools, in order: Granola → any AI chat assistant

    1. Take rough notes in Granola during the conversation.
    2. Ask a chat assistant to clean them up and mark exact quotes.
    3. Ask before you quote anyone by name.

    Recommended for this step: Granola

Time: notes are ready when the call ends

    The prompt for this process

Here are my rough notes from an in-person customer interview, taken in Granola.

    Notes: [paste]

Clean them up: keep the customer's own words, mark exact quotes with quotation marks, and separate what they said from what I concluded. Do not add anything that is not in the notes.

    Start with the quotes.

  4. Turn the notes into one page of decisions

Tools, in order: any AI chat assistant → Gamma

    1. Paste all five transcripts and notes into a chat assistant.
    2. Ask for repeated words, surprises, three changes and one thing to stop.
    3. Lay the result out as one page in Gamma and share it with the team.

    Recommended for this step: Gamma

Money: you change what customers asked for, not what you guessed

    The prompt for this process

Here are five customer interview transcripts and notes. I will lay the summary out as one page in Gamma.

    Transcripts and notes: [paste]

Write one page: words and problems that came up in at least two interviews (with quotes), surprises, three changes I should make and one thing to stop doing. For each change, say which interviews support it. Do not invent quotes.

    Start with the repeated words.
