Steps
Check you may upload the documents
Use only documents you own or are allowed to share with an AI tool. Remove personal data and anything the supplier marked confidential.
Get a one-page briefing
Load the documents and ask for a briefing that a new staff member can read in a few minutes, with a reference to the page each point comes from.
WeakSummarise these documents.
BetterWrite a one-page briefing for a new shop assistant: what the product is, how to store it, the three safety rules and what to do when a customer returns it. After each point, give the document and page it comes from.
Make the quiz and check the answers
Ask for ten multiple-choice questions on the points that matter most. Check every correct answer against the original document yourself, then put the quiz into an online form.
Record the summary in a clear, labelled voice
Turn the briefing into a short spoken script and record it in an AI voice. Say at the start that the voice is made with AI.
ExampleThis is a short summary of our storage and returns rules, read by an AI voice. The full documents are in the staff folder.
Share it and see who passed
Send the briefing, the audio and the quiz link together. Look at the results to see which questions most people got wrong, and explain those points again in person.
The full instruction
Copy it into any AI chat assistant and change only the first line.
Change only this line: AUDIENCE = [new shop assistants] You help me turn my own documents into training material for my AUDIENCE. Documents: the files I have uploaded in this chat (up to three). If you need to know what my AUDIENCE must be able to do after the training, ask me first. Do four things, using only the documents: 1. A one-page briefing with at most 8 points; after each point, the document and page it comes from. 2. Ten multiple-choice questions with four options each, the correct answer and the page it comes from. 3. A spoken script of about five minutes that starts with: "This summary is read by an AI voice." 4. A list of anything in the documents that is unclear or contradicts itself, for me to check. If the documents do not answer something, say so instead of guessing. Start with the briefing.
What you end up with
A briefing, a quiz checked against the source and an audio summary in a labelled AI voice, all from your own documents, so new staff learn the same rules the same way.
Common mistakes
- Uploading documents you are not allowed to share.
- Publishing quiz answers without checking them against the original.
- Using an AI voice without saying it is one.
Processes that need more than one tool
Each process below uses several tools, each for the job it does best. Any AI chat assistant works where one is named.
Load the documents and get a briefing
Tools, in order: an AI notebook tool → a document
- Upload up to three documents you are allowed to share into an AI notebook tool.
- Ask for a one-page briefing with page references and save it as a shared document.
The prompt for this process
Use only the documents I uploaded. Who reads the briefing: [e.g. new shop assistants] What they must be able to do: [e.g. store the product, answer the usual questions, handle a return] Write a one-page briefing of at most 8 points. After each point, give the document and page it comes from. If the documents do not cover something on my list, say so instead of guessing. End with a list of anything that is unclear or contradicts itself. Start with point 1.
Make the quiz
Tools, in order: an AI notebook tool → Typeform
- Ask the notebook tool for ten multiple-choice questions with the page each answer comes from.
- Check every answer against the original, then build the quiz in Typeform.
The prompt for this process
Using only my uploaded documents, write a staff quiz I will build in Typeform. Topic of the quiz: [e.g. storage and returns] Points that matter most: [paste from the briefing] Write 10 multiple-choice questions, each with 4 short options, the correct answer and the document and page it comes from. Wrong options must be plausible but clearly wrong according to the documents. No trick questions. Start with question 1.
Record the summary in a labelled AI voice
Tools, in order: an AI notebook tool → Murf
- Ask the notebook tool for a spoken script that starts by saying the voice is AI.
- Record it in one calm voice in Murf and listen to it once against the briefing.
The prompt for this process
Turn my briefing into a spoken script that I will record in an AI voice in Murf. Briefing: [paste] Who listens: [e.g. staff on their first day] Length: about [minutes] minutes Start the script with a sentence saying the voice is made with AI and where the full documents are. Use short spoken sentences, one point at a time, and repeat the most important rule at the end. Add nothing that is not in the briefing. Start with the opening sentence.
Share it and see who passed
Tools, in order: Typeform → a spreadsheet
- Send the briefing, the audio and the Typeform quiz link together.
- Read the results in a spreadsheet and explain the most-missed points again in person.
The prompt for this process
Help me read my staff quiz results. Results exported to a spreadsheet: [paste: question, how many answered correctly, how many answered] The briefing points: [paste] List the questions most people got wrong and match each one to its briefing point. For each, suggest one plain sentence I can say in person to explain it again, and check whether the question itself was unclear. Do not name or rank individual staff. Start with the most-missed question.
For this result we recommend these tools
This guide describes a result. These tools are one way to get there faster. Whether one pays for itself depends on your work, and we promise no result.

From €25 per month (Basic, billed yearly; 100 responses a month) (source, checked 2026-10-16)
Typeform builds conversational online forms and surveys that show one question at a time. In this guide it is used in “Make the quiz” and “Share it and see who passed”. It is used for quizzes, feedback and lead forms, and its logic skips questions that do not apply, so more people finish.
Free plan · 14-day free trial (source, checked 21 Oct 2026)
ToolMurf
AI voice generator for text-to-speech voiceovers, dubbing and a voice API.
From $19 per month, $228 billed annually (Creator) (source, checked 2026-10-07)
Murf turns a written script into a studio-style AI voiceover, with many voices and languages. In this guide it is used in “Record the summary in a labelled AI voice”. It is used for training videos, explainers and announcements, and you can fix pronunciation, pauses and emphasis word by word.
Free trial with 10 minutes of voice generation (source, checked 21 Oct 2026)
We recommend a specialised tool for each process rather than one tool that does everything. Tools that try to do everything rarely do any one job really well, because no single function gets perfected. It is the same in life, in business and in relationships: spread your attention over ten places and nothing gets done properly.
