What you need

Sandra, a Kailiniai hero
  • Access to your business profile on the review platform
  • Any AI chat assistant
  • Two or three replies you wrote yourself, as a voice sample
  • Fotor for light and sharpness
  • Typeform and your email inbox
  • FotorClean, sharp photos without a reshootFree plan

Steps

  1. Update the profile once

Check hours, services, area, description and links. Ask the assistant to tighten the description using only facts you give it.

  2. Write a short voice guide

Paste a few replies you wrote yourself and ask for five rules that describe how you sound. Every draft follows these rules.

    Example

Thank the person by first name only if they used it. Name the thing they mentioned. One sentence on what we do next. No emojis. Sign with your first name.

  3. Draft replies, then edit and post them yourself

Once a week, paste new reviews into the assistant and get drafts. Read each one, change what does not sound like you and post it by hand. No order numbers, health details or other personal data in a reply.

    Weak

Thank you for your feedback, we value all our customers.

    Better

Thanks for mentioning the wait on Saturday. We have added a second person on weekend mornings. Hope to see you again. Rita

  4. Add a photo post from your own pictures

Take a clear photo of a real product, job or the shop, fix the light and sharpness and post it with one plain sentence. Do not change how the place or product really looks.

  5. Ask every real customer, the same way

Send the same short message with the review link to every customer after a job, whatever you think they will say. No rewards for reviews, no asking only happy customers and no reviews written by you or for you.

The full instruction

Copy it into any AI chat assistant and change only the first line.

Change only this line: BUSINESS = [a family cafe near the train station]

You help me reply to my online reviews in my own voice.
My business is my BUSINESS.

Below I paste two or three replies I wrote myself, then the new reviews from this week, without surnames.

Do three things:
1. Write five rules that describe my voice, based only on my own replies.
2. Draft one reply per review, at most 60 words each, following the rules. Name the specific thing the reviewer mentioned. For a negative review, thank them, admit what is fair and give one next step, without arguing.
3. Flag any review where my reply should not go into detail because it involves personal data, a dispute or a legal question.

Never invent facts about the visit. No discounts or rewards for reviews.

Start with the five rules.

Paste your material below this line:

What you end up with

Every review answered in your own voice, a profile that is up to date, real photo posts and a fair way of asking every customer for a review.

Common mistakes

  • Posting the AI draft without reading it, so every reply sounds the same.
  • Asking only the customers you expect to be happy.
  • Putting order or personal details into a public reply.

Processes that need more than one tool

Thomas, a Kailiniai hero

Each process below uses several tools, each for the job it does best. Any AI chat assistant works where one is named.

  1. Update the profile

Tools, in order: your business profile → any AI chat assistant

    1. Copy your current description, services and hours from your business profile.
    2. Ask the chat assistant to tighten the description from your facts and paste it back.

    The prompt for this process

Here is my current business profile description and my facts: [paste description, services, area, hours].

Rewrite the description in at most 600 characters, plain and specific, using only the facts I gave. Do not add awards, numbers or claims I did not give. Then list anything in my facts that looks out of date or unclear, as questions for me.

    Start with the questions.

  2. Draft replies you edit

Tools, in order: any AI chat assistant → your business profile

    1. Paste this week's new reviews and your voice rules into the chat assistant.
    2. Edit each draft so it sounds like you and post it by hand on your business profile.

    The prompt for this process

My voice rules: [paste five rules]
    New reviews, without surnames: [paste]

Draft one reply per review, at most 60 words, following my rules and naming the specific thing each reviewer mentioned. For a negative review: thank them, admit what is fair, give one next step, no arguing. No personal details. After the drafts, check each one against my rules and fix any that break them.

    Start with the first review.

  3. Add photo posts

Tools, in order: Fotor → your business profile

    1. Fix light and sharpness of a real photo of your product, work or shop in Fotor.
    2. Post it on your business profile with one plain sentence.

    The prompt for this process

I am posting one real photo a week on my business profile, cleaned in Fotor for light and sharpness only.

    This week's photo shows: [describe]
What is new or useful about it: [describe]

Write three captions of at most 25 words each, plain and specific, with no claims I cannot back up and no urgency. Then list two checks so the cleaned photo still shows the place or product as it really is.

    Start with caption 1.

  4. Ask real customers for a review

Tools, in order: Typeform → your email inbox

    1. Make a short Typeform that thanks the customer and shows your review link at the end to every respondent, whatever their answers.
    2. Send the same message with the form link to every customer after a job from your email inbox.

    The prompt for this process

Write a short after-job message and form that asks every customer for a review in the same way.

    My business: [one sentence]
    My review link: [paste]

Write: a message of at most 50 words, and a Typeform with at most 3 questions where every respondent sees the review link at the end, whatever they answer. No rewards, no hint that only happy customers should review.

    Start with the message.
