Guide

Promote a local event in an evening: poster, clip, sign-ups

Ema, a Kailiniai hero

For this guide and its prompts we recommend:

  • Higgsfield generates the poster background and can turn a still into a short scene.
  • Typeform collects sign-ups with a headcount. Free plan · 14-day free trial (source)

You can now promote an event in one evening.

Steps

  1. Design the poster

The poster has one job: date, place and time readable from across a room. Generate the background image, then check that every word on the poster is spelled correctly and large enough.

    Weak

A beautiful poster for my event.

    Better

A poster for a cheese tasting on 14 March at 18:00, at our studio. Date, time and place in large, clear letters.

The prompt and the tool for this step

  2. Make a 10-second clip from the poster or a photo

One slow movement turns the poster into a clip for Reels and Stories. Keep the text unchanged and readable in every frame.

The prompt and the tool for this step

  3. Open a sign-up form with a headcount

Three questions are enough: name, email and number of guests. The headcount tells you how much to buy and how many helpers you need.

The prompt and the tool for this step

  4. Send two reminders

Send one reminder two days before and one two hours before, with the address and what to bring. Fewer people forget, and you do not have to call anyone.

The prompt and the tool for this step

  5. Schedule a week of posts

Plan five posts for the week before the event and schedule them in one sitting: the poster, the clip, a behind-the-scenes photo, a question and a last note.

The full instruction

Copy it into any AI chat assistant and change only the first line.

Change only this line: EVENT = [a coffee tasting evening at my shop]

You help me promote my in-person EVENT in one sitting.

Before you start, ask me the date, time and place, who it is for, how many people can come and where I post. One question at a time.

Do five things:
1. Write a poster prompt for an AI image tool: the background scene and light, with clear space for the date, time and place in large letters. No people, children or animals.
2. Write a one-movement prompt that turns the poster into a 10-second clip, keeping all text unchanged.
3. Write a sign-up form with 3 questions, including the number of guests.
4. Write two reminder emails: two days before and two hours before, each at most 60 words, with the address.
5. Write 5 posts for the week before, each at most 40 words, with the date and place stated plainly.

No invented scarcity; mention a limit only if I gave you one. Start with the poster prompt.

What you end up with

Everything an in-person event needs to fill the room, made in one sitting: a readable poster, a moving version for Reels and Stories, a sign-up form that tells you the real headcount, two reminders that send themselves and a scheduled week of posts.

Common mistakes

  • A poster where the date or place is too small or misspelled.
  • A sign-up form without a headcount, so you guess how much to buy.
  • Inventing a limited number of places that is not true.

Processes that need more than one tool

Thomas, a Kailiniai hero

Each process below uses several tools, each for the job it does best. Any AI chat assistant works where one is named.

  1. Design the poster

Tools, in order: Higgsfield → Fotor

    1. Generate the poster background in Higgsfield with clear space for the text.
    2. Fix the light and sharpness in Fotor, add the date, time and place and check the spelling.

Recommended for this step: Higgsfield + Fotor

Money: no designer for a one-off poster

    The prompt for this process

I am making a poster for an in-person event. I will generate the background in Higgsfield and finish it in Fotor (light, sharpness), then add the text.

    The event: [what it is]
    Date, time and place: [paste]
The mood: [e.g. warm, autumn, friendly]

    Do two things:
    1. Write a background prompt of at most 40 words: scene, light, colours, with a clear empty area for text at the top. No people, children or animals, and no text in the image.
    2. Write the poster text in three lines: event name, date and time, place. Then give 4 rules so it stays readable from across a room.

    Start with the background prompt.

  2. Make a 10-second clip from the poster or a photo

Tools, in order: any AI chat assistant → PixVerse

    1. Ask a chat assistant for a one-movement prompt that keeps the text unchanged.
    2. Run it in PixVerse and check every frame for readable text.

    Recommended for this step: PixVerse

Quality: a moving version for Reels and Stories

    The prompt for this process

I want a 10-second clip from my event poster, made in PixVerse.

    What the poster shows: [describe]
Where the clip will be posted: [Reels, Stories, other]

Write 3 one-movement prompts of at most 25 words each: one slow camera move or one gentle element moving. Each prompt ends with: "All text stays exactly as on the poster and readable in every frame."

    Start with prompt 1.

  3. Open a sign-up form with a headcount

Tools, in order: any AI chat assistant → Typeform

    1. Ask a chat assistant for three questions, including the number of guests.
    2. Build the form in Typeform and put the link on the poster post.

    Recommended for this step: Typeform

Money: you buy and staff for the real number

    The prompt for this process

I am opening a sign-up form in Typeform for my in-person event.

The event, date, time and place: [paste]
The most people I can host: [number]

Write: a one-line intro, 3 questions (name, email, number of guests including the person signing up) and a thank-you message that repeats the date, time and address. Keep it short enough to fill in on a phone.

    Start with the intro.

  4. Send two reminders

Tools, in order: any AI chat assistant → Systeme.io

    1. Ask a chat assistant for two short reminder emails.
    2. Set them up in Systeme.io to send two days and two hours before the event.

    Recommended for this step: Systeme.io

    Time: fewer no-shows without calling

    The prompt for this process

Write two reminder emails for my in-person event. They will be sent automatically from Systeme.io.

The event, date, time and address: [paste]
What guests should bring or know: [paste]

Reminder 1 (two days before) and reminder 2 (two hours before): each with a subject line of at most 40 characters, at most 60 words, the address and a line on how to cancel if plans change.

    Start with reminder 1.

  5. Schedule a week of posts

Tools, in order: any AI chat assistant → Blotato

    1. Ask a chat assistant for five posts for the week before the event.
    2. Schedule all five in Blotato with the poster and the clip.

    Recommended for this step: Blotato

    Time: done in one sitting

    The prompt for this process

Write five posts for the week before my in-person event. I will schedule them in Blotato.

The event, date, time and place: [paste]
    Sign-up link: [LINK?]
Material I have: poster, 10-second clip, [photos]

For each post give: the day, a caption of at most 40 words with the date and place stated plainly, and which material to use. Angles: the poster, the clip, a behind-the-scenes photo, a question to the audience, a last note on the day before. No invented scarcity.

    Start with post 1.
