Steps
Transcribe the episode
Upload the recording to a transcription tool and get a transcript with time stamps and speakers. Fix names and terms it got wrong before you use it.
Write show notes from the transcript
Ask for show notes that use only what was said: a short summary, the main points with time stamps, links that were mentioned. Every quote is word for word.
WeakWrite exciting show notes for this episode.
BetterFrom this transcript, write a 60-word summary, five main points with time stamps and the links mentioned. Quotes word for word only, and mark any point you are unsure of with [CHECK?].
Cut two short audiogram clips
Pick two moments that are true on their own, without the rest of the episode. If the audio has no video, add a still cover and a waveform in a video editor first. Add captions and schedule the clips. For the rule on clips that stay true, see /guides/long-video-into-true-short-clips/.
Write one email for your list
Write one short email: what the episode is about, one point worth hearing and the link. Send it only to people who signed up to hear from you.
Check every quote against the audio
List every quote and time stamp from the notes, clips and email in a sheet, play each one and mark it checked. Change or drop anything that does not match word for word.
ExampleQuote, used in, time stamp, matches audio yes or no, fixed.
The full instruction
Copy it into any AI chat assistant and change only the first line.
Change only this line: EPISODE = [an episode on pricing handmade goods, with a ceramics studio owner as guest] You help me turn my podcast EPISODE into show notes, two clip ideas and one email. The transcript with time stamps and the links mentioned are pasted below. Do four things: 1. Show notes: a summary of at most 60 words, five main points with time stamps, the links. 2. Two clip ideas of 20 to 45 seconds that are true on their own, each with start and end time and why it stands alone. 3. One email of at most 120 words with the episode link and one point worth hearing. 4. A list of every quote you used, with its time stamp, for me to check against the audio. Quotes word for word only. Do not add claims that were not said. Start with the show notes. Paste your material below this line:
What you end up with
Show notes, two clips and one email from one episode, every quote checked against the audio and every clip true without the rest.
Common mistakes
- Publishing show notes with quotes that were never said word for word.
- Cutting a clip that means something different without its context.
- Using a guest's voice in clips without their agreement.
Processes that need more than one tool
Each process below uses several tools, each for the job it does best. Any AI chat assistant works where one is named.
Transcript into show notes
Tools, in order: Fireflies → any AI chat assistant → your podcast host
- Upload the episode recording to Fireflies and fix names and terms in the transcript.
- Paste the transcript into the chat assistant and ask for show notes that use only what was said.
- Read the notes once against the transcript and paste them into the episode page on your podcast host.
The prompt for this process
Write show notes from this podcast transcript, transcribed with Fireflies. Episode: [title, guest name and role] Transcript with time stamps: [paste] Links mentioned: [paste] A summary of at most 60 words, five main points with time stamps and the links. Quotes word for word only. Mark any point you are unsure of with [CHECK?]. Do not add anything that was not said. Start with the summary.
Two audiogram clips
Tools, in order: OpusClip → a video editor → Blotato
- If the episode is audio only, make a simple video with a still cover and a waveform in a video editor, then let OpusClip suggest clips with captions.
- Keep two clips that are true on their own, with the guest's agreement, and schedule them in Blotato.
The prompt for this process
Help me choose two audiogram clips from my episode, from the clips OpusClip suggested. Suggested clips with start, end and text: [paste] What the episode is about: [one sentence] For each clip, say whether it is still true without the rest of the episode, and why. Pick the two best that are 20 to 45 seconds long. Write a caption of at most 25 words for each that says which episode it comes from. No claims beyond what was said. Start with the check.
One email to your list
Tools, in order: any AI chat assistant → Systeme.io
- Ask the chat assistant for one short email about the episode.
- Add it as the next email in your Systeme.io email sequence, sent only to people who joined on your sign-up page.
The prompt for this process
Write one email about my new podcast episode for my list in Systeme.io. Episode: [title, guest] Show notes: [paste] Episode link: [paste] At most 120 words: a plain subject line, one point worth hearing, a short quote word for word with its time stamp, the link and a one-line way to unsubscribe. No urgency, no promises. Start with the subject line.
Check every quote against the audio
Tools, in order: Fireflies → a spreadsheet
- Find each quote in the Fireflies transcript and play the audio at its time stamp.
- Log each quote in a spreadsheet as matching or not, and change or drop every quote that does not match.
The prompt for this process
Make a quote check list from my show notes, clip captions and email. Show notes: [paste] Clip captions: [paste] Email: [paste] List every quote and every statement attributed to a speaker, as a table: text, where it is used, speaker, time stamp if given. Mark any line that has no time stamp so I can find it in the audio. Start with the table.

We recommend a specialised tool for each process rather than one tool that does everything. Tools that try to do everything rarely do any one job really well, because no single function gets perfected. It is the same in life, in business and in relationships: spread your attention over ten places and nothing gets done properly.
