Steps
Write ten questions and short spoken answers
Write the ten questions callers ask most and answer each in one or two spoken sentences. Answers on the phone are shorter than written ones and end with an offer.
BeforeOur opening hours are Monday to Friday from 9:00 to 18:00 and Saturday from 10:00 to 15:00, and we are closed on Sundays and on the public holidays listed on our website.
AfterWe are open weekdays nine to six and Saturday ten to three. Would you like me to book a time for you?
Say it is AI in the first sentence
The first thing a caller hears is that this is an AI assistant and how to reach a person. If calls are recorded, say so too; rules on recording and consent differ by country, so check with a professional. For a simple recorded announcement instead of an assistant, see /guides/ai-voice-announcement/.
ExampleHello, this is the AI assistant of [business]. This call may be recorded. Say 'person' at any time to be passed to our team.
Choose and test the voice
Listen to a few stock AI voices reading your own answers and pick the one that is clearest on a phone line. Label it as an AI voice in your script and on your website. Never clone a real person's voice without their written consent.
Build the call flow with booking and handover
Set the flow: greeting, question, answer, offer to book or to pass to a person. Anything outside the ten questions, any complaint and anything urgent goes to a person or a callback. Bookings go straight into your calendar.
Test ten calls before going live
Call it ten times yourself with real questions, an odd question, a complaint and a request for a person. Log every call in a sheet and fix the flow before you give out the number.
The full instruction
Copy it into any AI chat assistant and change only the first line.
Change only this line: BUSINESS = [a dental clinic in a mid-sized town] Act as a script writer for a phone assistant that is clearly AI. My business is my BUSINESS. Below I paste the ten questions callers ask most, with my facts for each answer. Before you write, ask me two questions, one at a time: how callers reach a person (transfer number or callback), and whether calls are recorded. Do three things: 1. The greeting: it says it is an AI assistant, mentions recording if yes and says how to reach a person, in at most 30 words. 2. Ten spoken answers of at most 2 sentences each, using only my facts, each ending with an offer to book or to pass to a person. 3. Handover rules for complaints, urgent calls and anything outside the ten questions. After my answers, start with the greeting. Paste your material below this line:
What you end up with
A phone assistant that says it is AI in its first sentence, answers ten common questions from your facts, books into your calendar and passes everything else to a person, tested on ten calls.
Common mistakes
- Starting the call without saying it is an AI assistant.
- Leaving callers no quick way to reach a person.
- Going live without test calls that include a complaint and an odd question.
Processes that need more than one tool
Each process below uses several tools, each for the job it does best. Any AI chat assistant works where one is named.
Write ten questions and answers
Tools, in order: any AI chat assistant → a document
- Ask the chat assistant to turn your most common caller questions into short spoken answers.
- Put the questions and answers in a document and check every fact yourself.
The prompt for this process
Act as a phone script writer. Help me turn my most common caller questions into short spoken answers. My business: [one sentence] Questions callers ask: [list] Facts for the answers: [hours, address, prices from my list, booking rules] Before writing, ask me one question at a time about anything you need, at most 4 questions. Then write ten answers of at most 2 spoken sentences each, using only my facts, and mark any answer with a missing fact as [FACT NEEDED?]. Format it for a document: question, answer. Start with your first question.
Choose and test the voice
Tools, in order: Murf → a voice agent builder
- Have a few stock AI voices in Murf read three of your answers and pick the clearest on a phone speaker.
- Set the closest matching voice in your voice agent builder and label it as an AI voice in your script.
The prompt for this process
Help me choose an AI voice for my phone assistant. I will compare stock voices in Murf. My business and callers: [e.g. a repair shop, many older callers] Three answers from my script: [paste] What callers find hard on the phone: [e.g. fast speech, background noise] Describe the voice that fits in 4 lines: pace, pitch, warmth, accent. Write 3 test sentences with names, numbers and addresses that voices often get wrong. Then list 4 pass or fail checks for each voice, so I choose on criteria, not first impressions. Stock AI voices only, never a copy of a real person. Start with the voice description.
Build the call flow with booking
Tools, in order: a voice agent builder → your calendar
- Build the flow in the voice agent builder: AI greeting, answer, offer to book or to pass to a person.
- Connect your calendar so bookings land as events, and set a callback for everything else.
The prompt for this process
Act as a call flow designer. Write the flow for my AI phone assistant. Greeting: [paste, it says it is AI] The ten questions and answers: [paste] Booking rules: [services, length, which hours] Handover: [transfer number or callback by email] Write the flow as numbered steps: greeting, listen, match to one of the ten questions, answer, offer a booking or a person. Add what happens when the caller asks for a person, is upset, says it is urgent or asks something outside the list. The assistant never gives medical, legal or financial advice and never confirms a booking it could not save. Start with step 1.
Test ten calls and log them
Tools, in order: a voice agent builder → a spreadsheet
- Make ten test calls yourself with real, odd and difficult questions and a request for a person.
- Log each call in a spreadsheet: question, what it said, pass or fail, fix.
The prompt for this process
Act as a strict tester for my AI phone assistant. Call flow: [paste] My notes from ten test calls: [paste: what I asked, what it said] Score each call on five criteria, pass or fail: said it is AI at the start, answered only from my facts, offered a booking or a person, handled a request for a person at once, invented nothing. Then list the three fixes that would solve the most failures, in order. Return a table for a spreadsheet. Start with the table.
For this result we recommend these tools
This guide describes a result. These tools are one way to get there faster. Whether one pays for itself depends on your work, and we promise no result.

We recommend a specialised tool for each process rather than one tool that does everything. Tools that try to do everything rarely do any one job really well, because no single function gets perfected. It is the same in life, in business and in relationships: spread your attention over ten places and nothing gets done properly.
