What you need

Sandra, a Kailiniai hero
  • A booking tool with your services and calendar
  • Any AI chat assistant
  • An automation tool and an SMS service
  • Typeform and a spreadsheet
  • TypeformAnswers from real people instead of guessesFree plan

Steps

  1. Write two short reminder texts

One for 24 hours before and one for 2 hours before. Each says who, when, where and how to reschedule, in plain friendly words.

    Weak

REMINDER. Missed appointments will be charged.

    Better

Hi Anna, see you tomorrow at 10:00 at [address] for your haircut. Need another time? Change it here: [link].

  2. Send them automatically

Connect the booking tool to an automation tool that sends an SMS at the two times. Text only clients who gave their number for bookings, and put your business name in every text so they know who it is.

  3. Make rescheduling easy

Add a short form or link to reschedule or cancel. A slot that comes back can be booked again; an empty chair cannot. Mention fees only if your terms already state them clearly and the client agreed to them.

  4. Check no-shows once a month

Log each booking in a sheet: date, reminded, came, rescheduled, no-show. Once a month, ask an assistant to summarise the patterns from the sheet, then change one thing, such as the time of the second reminder.

    Example

A pattern to look for: no-shows gather on Monday mornings, so test a reminder on Sunday evening for Monday bookings.

The full instruction

Copy it into any AI chat assistant and change only the first line.

Change only this line: BUSINESS = [a hair salon in the city centre]

Act as a friendly client-communication writer for my booking business, my BUSINESS.

Before you write, ask me for these, one question at a time: my services and a typical booking, my reschedule link, and any cancellation terms clients already agreed to (or "none").

Then write:
1. A reminder for 24 hours before, at most 160 characters, with name, time, place and the reschedule link.
2. A reminder for 2 hours before, at most 120 characters.
3. A short reply for clients who answer the text.
Mention fees only if they are in the terms I gave you. No pressure and no capital letters for shouting.

Then check each text against these rules and fix any that fail.

After my answers, start with the 24-hour reminder.

What you end up with

Two friendly reminders that go out by themselves, an easy way to move a booking and a monthly look at the sheet that tells you which one change to test next.

Common mistakes

  • Threatening fees that are not in terms the client agreed to.
  • Texting numbers that were not given for bookings.
  • Making it hard to reschedule, so people simply do not come.

Processes that need more than one tool

Thomas, a Kailiniai hero

Each process below uses several tools, each for the job it does best. Any AI chat assistant works where one is named.

  1. Write the reminder texts

Tools, in order: any AI chat assistant → a booking tool

    1. Ask the chat assistant for the two reminder texts with your booking tool's placeholders.
    2. Paste them into the reminder settings of your booking tool and send one to yourself first.

    The prompt for this process

Write two SMS reminders for my bookings, ready to paste into my booking tool with its placeholders.

    Business: [type and name]
    Placeholders my tool uses: [e.g. {name}, {time}, {service}, {link}]
    Tone: [e.g. warm, short]
Late cancellation terms clients agreed to: [paste or "none"]

Reminder 1 goes 24 hours before, reminder 2 goes 2 hours before. Each names the business, the time and the reschedule link and stays under 160 characters. No fee wording unless it is in my terms. Write three versions of each, then pick the clearest and say why in one line.

    Start with reminder 1.

  2. Send them automatically by SMS

Tools, in order: a booking tool → an automation tool → an SMS service

    1. Create an automation that starts from each new booking in your booking tool.
    2. Send the texts through an SMS service at 24 hours and 2 hours before, first to your own number as a test.

    The prompt for this process

Act as an automation helper. Explain step by step how to send two SMS reminders for each booking with an automation tool and an SMS service.

    Booking tool: [name]
Reminder times: 24 hours and 2 hours before the booking
    Reminder texts: [paste]
Countries my clients are in: [list]

Write the steps in plain words: trigger, wait until the right time, SMS step, what to test. Add a check that only clients who gave their number for bookings get texts, and say what happens when a booking is moved. If a step depends on my plan or country, say so instead of guessing.

    Start with the trigger.

  3. Reschedule or cancel form

Tools, in order: Typeform → your calendar

    1. Build a short Typeform where clients choose reschedule or cancel and suggest a new time.
    2. Move the event in your calendar and confirm the new time yourself.

    The prompt for this process

Help me build a short reschedule or cancel form in Typeform for my clients.

    Business: [type]
What I need to move a booking: [e.g. name, current booking, two new times]
How I confirm: [e.g. I reply by SMS within working hours]

Write a form title, at most 5 questions with answer types and a closing message that says what happens next without promising a time I cannot keep. The form must not sound like a penalty. Then read the form as a client would: is anything confusing or too long. Fix it.

    Start with the title.

  4. Track no-shows monthly

Tools, in order: a spreadsheet → any AI chat assistant

    1. Log each booking in a spreadsheet with reminded, came, rescheduled or no-show.
    2. Once a month, paste the month into the chat assistant for a summary and pick one change to test.

    The prompt for this process

Act as a careful analyst. Summarise last month's bookings from my sheet.

Sheet rows: [paste: date, weekday, time, service, reminded, came, rescheduled, no-show]
Change I tested this month: [describe or "none"]

Use only the rows I pasted. Count no-shows and reschedules by weekday and time of day, and for any pattern say how many bookings it rests on. If there are too few bookings for a pattern, say so. Suggest one change to test next month and how I will know whether it helped.

    Start with the counts.
