Steps
Know how it works, without jargon
The tool does not learn your files by heart. When you ask, it first searches your documents for the passages that fit the question, then writes the answer from those passages and points to them. This is called retrieval, or RAG. That is why clean, current documents matter more than clever questions.
ExampleQuestion: do you deliver to Latvia. The tool finds the delivery section of your policy, answers from it and shows that passage as the source.
Prepare the documents first
Remove old versions, give every file a clear name with a date and split long mixed files by topic. Ask a chat assistant to turn tables and scanned pages into clean text, then compare it with the original. Leave out confidential client files unless you have permission to use them.

Load them and always ask for the source
Upload the files to a document assistant and ask it to answer only from them and to quote the passage. Keep a log of questions, answers and sources, so you can see patterns.
WeakWhat is our return policy.
BetterUsing only the uploaded files, what is the return window for sale items. Quote the passage and name the file. If the files do not say, answer 'not in the documents'.
Keep the same set in one project
Put the files in one folder and in the assistant's project, so the same set is used every time. When a price or policy changes, replace the file in both places on the same day.
Spot-check ten answers
Write ten questions you already know the answers to, ask them and mark each answer right, partly right or wrong, with the source it gave. Fix the document behind each wrong answer, not only the answer.
The full instruction
Copy it into any AI chat assistant and change only the first line.
Change only this line: DOCUMENTS = [my price list, returns policy and staff handbook] Act as a careful assistant that answers only from my documents. I have uploaded my DOCUMENTS. Questions will come from me and my staff. Rules for every answer: use only the uploaded files, quote the passage you used and name the file. If the files do not answer the question, say "not in the documents" and suggest which document is missing. Never fill a gap from general knowledge. First, read the files and list any two documents that contradict each other. Then wait for my first question. Start with the list of contradictions.
What you end up with
An assistant that answers from your own files and shows the passage behind every answer, with ten answers checked and the documents behind wrong answers fixed.
Common mistakes
- Uploading old and new versions of the same file, so answers mix them.
- Trusting an answer without opening the passage it cites.
- Uploading confidential client files without permission.
Processes that need more than one tool
Each process below uses several tools, each for the job it does best. Any AI chat assistant works where one is named.
Prepare the documents
Tools, in order: your file storage → any AI chat assistant
- Collect the current files in one storage folder, rename them with dates and remove old versions.
- Ask the chat assistant to turn tables and scanned pages into clean text, then compare a few lines with the original.
The prompt for this process
Act as an editor preparing business documents for a document assistant. Document: [paste the text or table, without confidential client data] What it is for: [e.g. price list for staff questions] Date it is valid from: [date] Turn it into clean text: one heading per topic, tables kept as simple tables, no repeated passages. Do not change any price, date or rule. At the end, list every place where the original was unclear or where two parts disagree, so I can fix it in the source file. Start with the cleaned text.
Chat with them and log the answers
Tools, in order: a document chat tool → a document
- Upload the cleaned files to a document chat tool and ask questions that need a source.
- Copy each question, answer and cited passage into an answer log in a document.
The prompt for this process
Answer only from the sources in this notebook. Question: [the question a customer or staff member asked] Who is asking: [customer or staff] Give a short answer of at most 60 words, then quote the passage you used and name the source. If the sources do not answer it, say "not in the documents" and do not guess. If two sources disagree, show both passages and say which looks newer from its title or date. End with one line for my answer log: question, answer, source. Start with the answer.
Keep them in a project
Tools, in order: a project in an AI chat assistant → your file storage
- Create a project in your chat assistant, add the same cleaned files and paste the project instructions.
- Keep the master copies in the storage folder and replace both copies on the same day when something changes.
The prompt for this process
These are the instructions for my document project. Follow them in every chat. Business: [one sentence] Files in this project: [list name, topic and date of each] Who uses the answers: [staff, me] Answer only from the project files and name the file and section each time. If the files do not cover the question, say so and suggest which file is missing. Never give legal, tax or medical advice; say "check with a professional". Before each answer, check the file date and warn me if a file is older than [months]. Start with a one-line summary of each file.
Spot-check ten answers
Tools, in order: Typeform → a spreadsheet → a document chat tool
- Collect real questions from your team with a short Typeform.
- Pick ten with known answers, put them in a spreadsheet and ask each one in the document chat tool.
- Mark each answer right, partly right or wrong and fix the document behind every wrong one.
The prompt for this process
Act as a strict checker for my document assistant. Question: [paste] The correct answer I know: [paste] The assistant's answer and the source it cited: [paste] Judge it on three criteria, each pass or fail: the answer matches the correct one, the cited passage really says it, nothing was added that the documents do not say. Then mark it right, partly right or wrong. If it failed, say whether the fix belongs in the document or in the question. Give one row for my sheet. Start with the three criteria.
For this result we recommend these tools
This guide describes a result. These tools are one way to get there faster. Whether one pays for itself depends on your work, and we promise no result.
Typeform
An online form and survey builder with AI form creation.
From €25 per month (Basic, billed yearly; 100 responses a month) (source, checked 2026-10-16)
Typeform builds conversational online forms and surveys that show one question at a time. In this guide it is used in “Spot-check ten answers”. It is used for quizzes, feedback and lead forms, and its logic skips questions that do not apply, so more people finish.
Free plan · 14-day free trial (source, checked 21 Oct 2026)
We recommend a specialised tool for each process rather than one tool that does everything. Tools that try to do everything rarely do any one job really well, because no single function gets perfected. It is the same in life, in business and in relationships: spread your attention over ten places and nothing gets done properly.
